Habilita PRO
Document management & regulatory compliance platform for Colombia's health sector.
About this project
Habilita PRO is a Colombian startup that identified a critical need in the health sector: managing regulatory compliance and certification with health authorities is a chaos of physical documents, forgotten expiration dates, and surprise audits. We built from scratch the web platform that digitizes this entire process, from document upload to automatic expiration alerts.
What needed to be solved
The biggest challenge was understanding and mapping Colombia's health sector regulatory flow (Resolution 3100 of 2019 and other regulations). Each type of provider (IPS, private practice, laboratory) has different requirements. The platform had to be flexible enough to adapt to each case while maintaining a simple user experience. Security was critical: documents include sensitive patient and professional information. We also needed an intelligent alert engine that notified expirations via email and WhatsApp.
How we solved it
We designed a data architecture that models regulatory requirements as configurable entities. Each client can upload their compliance matrix and the platform automatically generates a compliance dashboard. We implemented document version control, digital signatures, audit logs, and a multi-channel notification engine. Security was reinforced with AES-256 encryption, two-factor authentication, automatic backups, and AWS servers with HIPAA compliance. Development followed 2-week sprints with functional deliverables.
Measurable impact
In its first 6 months, Habilita PRO onboarded 15 health institutions. Users reduced audit preparation time by 85%. The platform processes over 5,000 documents and sends over 500 automatic alerts monthly. Client compliance rates went from 60% to 98%. They secured their first investment round based on metrics generated by the platform.
